The success of any fitness program depends upon continuity, presence and accountability. Synergy's Pilates & Fitness processes and procedures ensure a strong foundation enabling you to reach your goals and perfect your technique. The information below present the guidelines for fees, scheduling, cancellation, punctuality and safety. All of these elements are important issues to anyone receiving professional services at Synergy's studio. Most people can find excuses to avoid exercise. By upholding the foundation of the information below, you agree to honor your own progress. These policies are strictly enforced. To help our studio run efficiently, please note the following policies and information:
CLASSES AND APPOINTMENT PAYMENTS
All scheduled appointments and class reservations must be paid in advance, paid at the time of service or under an auto-pay contract. Payment may be by debit/credit card, check, cash, or electronic funds transfer (EFT), if not under an auto-pay contract. All clients must have a credit card or debit card on file. All appointments are non-refundable, non-transferable and expire within 30 days of purchase date. There is a $35 fee for all returned checks.
EXPIRATION OF SESSIONS
All purchased appointments/sessions expire 30 days after the date of purchase. Any sessions that remain after the expiration date will be forfeited unless attached to a promotional package. If you are physically unable to continue training, you must bring a doctor´s note. For any extended absences, you must make special arrangements in advance.
All appointments must be scheduled via the online portal, MINDBODY Connect app or during your scheduled appointment times. Once you login to the system and schedule your appointment, you will receive an email and a text confirmation. On the email confirmation, you may add the appointment to your calendar by clicking on the calendar icon at the bottom of the confirmation.
For group classes, please sign up to reserve your slot in class in advance to guarantee a slot in class as well as to receive any class communications. Reservations can be made via the online portal or through the MINDBODY Connect app.
All scheduled appointments must be rescheduled via the online portal or during your scheduled appointment time. If the appointment is being rescheduled within 5 hours of the scheduled time, the appointment will be considered an early cancellation. For all appointments being rescheduled less than 5 hours of the scheduled time, the appointment will be considered a late cancellation. Once you login to the system and reschedule your appointment, you will receive an email and a text confirmation. Please see below in regards to cancellations.
CANCELLATIONS (BY CLIENT)
If you need to cancel a scheduled appointment, it must be canceled via the online portal, MINDBODY Connect app or during your scheduled appointment time. Any text messages/phone calls regarding canceling appointments will not be considered as a cancelation (only a confirmation that you have canceled online). If the appointment is being canceled within 24 hours of the scheduled time, the appointment will be considered an early cancellation. There will be no fee assessed for early cancellations. For all appointments being canceled less than 24 hours of the scheduled time, the appointment will be considered a late cancellation. All late cancellations will be assessed a fee in the amount of the service appointment or the forfeiture of a session. Once you login to the system and cancel your appointment, you will receive an email and a text confirmation.
CANCELLATIONS (BY STUDIO)
Group classes require at least 3 students. If there are less than 3 students registered for a class, the class will be cancelled. We will text and email you in regards to the cancellations 1 hour in advance. Due to the minimum attendance requirement, we encourage registration at least 24 hours in advance.
For all clients arriving late to appointments, please forward a text message to (832) 517-7160. Clients arriving late will not be guaranteed a session longer than the scheduled appointment. For example, if you are 15 minutes late for a 60-minute training session, your session will be reduced to 45 minutes and you will not receive credit for the remaining 15 minutes. If the company schedule allows, you may be granted an extended session. All clients who do not arrive for appointments will be considered a late cancellation or no show. A fee will be assessed to the client’s account.
There is a $5 fee for no shows for the classes. Clients with scheduled appointments, will be charged in full for a "no show."
If you have a change in your physical condition or new medication, it is important to let the instructor/trainer know ahead of time so that appropriate precautions can be taken. Likewise, if safety hazards present themselves during a session/class, your session/class may be halted until the problem is resolved. You are obligated to inform the instructor/trainer of any pain, discomfort, fatigue or any other symptoms that you may suffer during and immediately after participation. You may stop or delay participation in any activity if you so desire, and you may also be requested to stop and rest by the instructor who observes any symptoms of distress or abnormal response. The session/class is forfeited without refund if you are under the influence of drugs or alcohol during a session/class.
OTHER INFORMATION YOU NEED TO KNOW
Parking: There is free garage parking at 550 Westcott Street, Houston, Texas 77007.
Upon Arrival to the Studio: Please arrive a few minutes early so that you have time to fill out any necessary paperwork and sign in to the class or your session. Please sign in using the sign in sheet on the iPad portal at the door. Please enter the studio quietly and be mindful of a class or appointment may be in session.
We are located on the second floor of the building in Suite 210.
Restrooms: There is a restroom located on the first and second levels of the studio. If you need to change in the restroom, please be aware and considerate if there are others who are waiting to use the restroom as well.
Proper Dress: Please dress comfortably and in layers with clothing that you can easily move and stretch in. This can include but is not limited to t-shirts, tank tops, sweat pants, yoga pants, shorts, etc.
Footwear/Gloves: ToeSox and gloves are required for clients using the Pilates Reformer equipment and recommended for client in the Pilates Mat classes. ToeSox are available for purchase at the studio. For personal training sessions, please wear tennis shoes but be mindful of soiled shoes.
Other Belongings: It is recommended to bring limited belongings to the studio since spacing is limited. All purchases, clothing, shoes, etc. should be stored in the storage bins on the first level.
Food and Drinks: No food is allowed in the studio. Drinks with a closed, secure top are allowed only. Water and other drinks can be purchased at the studio. We kindly ask that if you do spill something on the floor that you let the instructor know immediately so that it can get cleaned up as soon as possible.
Fitness Equipment: Our staff will clean the equipment after your use in a private session. Please clean and properly store equipment after use in the Pilates group classes using the antibacterial wipes provided.
